Part-Time Administrative Coordinator Role

The part-time Administrative Coordinator position will be focused on the administrative support of the ongoing work of SpeakOUT. The position requires a candidate with the ability to work remotely with their own computer. Some attendance at events around the Boston area occasionally requested as part of the job.

Reports to: Executive Director

RESPONSIBILITIES

  • Assist with ongoing programs to further the organization’s mission, including outreach, development, and organizing of speaking engagements and other training, fundraising, or social opportunities for the organization.

  • Assist with and attend the two major speaker trainings per year, plus other occasional mini-trainings and private speaker trainings for other organizations. 

  • Perform functions with regard to SpeakOUT billing: generate and email invoices, and generate payment reminders as needed.

  • Communicate with volunteer speakers, supporters, and clients through email and phone contacts. 

  • Assist with marketing and communications tasks such as monthly email newsletters, member announcements, and social media postings.

  • Assist with general administrative duties to support board committees and Executive Director’s work.  

  • Perform other tasks as directed.

QUALIFICATIONS 

  • HS diploma or equivalent required. 

  • Post-secondary education degree or certificate, or comparable work experience,  preferred. 

  • Minimum of two (2) years administrative experience in a professional environment, community nonprofit, or LGBTQ+ organization.

  • Excellent computer skills, including familiarity with MS Office (Word, Excel, Powerpoint), Google GSuite tools (Google Drive, Docs, Sheets), and ability to use social media such as Facebook, Instagram, LinkedIn, Threads. Interest in learning new skills and programs such as Mailchimp.

  • Excellent organizational, interpersonal, oral, and written communication skills.

  • Proven ability to be self-directed, work independently, exercise judgment, and manage multiple tasks and priorities.

  • Must have the ability to work effectively remotely with your own computer, internet, and phone. 

  • Familiarity with the LGBTQ+ community, the Boston community in particular, is preferred.

ADDITIONAL INFORMATION

Work Schedule / Availability: Flexible working schedule to be coordinated with Executive Director. Virtual role, but should be accessible to Boston to support major events. Additionally, the candidate should have some flexibility to support events held in off-hours, including weekends (these would be planned in advance).

Benefits: MA Earned Sick Time and MA Paid Family and Medical Leave. After one year of work, eligible for one paid vacation week of 15 hours. 

Compensation: $20/hour for an average work week of 12-15 hours. There will be occasional opportunities for extra hours to help coordinate trainings and other events. Free speaker training will be provided.
